Report your stay as a mobility student with a nationality from outside the EU, EEA or Switzerland

This is your situation:

  • You do not have the nationality of an EU country, Iceland, Liechtenstein, Norway of Switzerland.
  • You are studying at a college or university in another EU country. You are coming to Belgium in the framework of your mobility programme, e.g. Erasmus Mundus.
  • You received the document ‘kennisgeving van de mobiliteit’ from your Belgian college or university. It confirms your participation in a mobility programme.

After you have reported yourself as a mobility student, you will receive an 'annex 33. It is valid for the duration of your mobility programme. 
Do you want to extend our mobility programme? If so, your Belgian educational institution must obtain approval from the federal authorities’ Immigration Office.

What do you have to do? 

Step 1: Your college or university notifies the city of your arrival.

Your college or university has your details and forwards them to the city of Leuven. Your do not have to take any action yourself.

Step 2: We process your details

We do not register you in the Belgian national register. You will receive an invitation to collect an ‘annex 33’. This is your proof of your mobility programme.

Step 3: Collect your ‘annex 33’

You come to the City Office, by appointment.

What do you need to bring?

Bring the original documents in hard copy. You may not present them digitally. 

  • National passport
  • Residence card of the EU country where you are studying
    The residence card must be valid.
  • The document ‘kennisgeving van de mobiliteit’ 
    You will receive it from your Belgian college or university. It confirms your participation in a mobility programme
  • 1 passport photo
    • The photo is no more than 6 months old.
    • Pay attention to the requirements (Dutch only).
    • There is a photo booth in the city office.
      Pay attention: take your photo before taking your appointment ticket at the dispenser.

  • For paper documents: go to step 3.

    • Do you not have a digital passport photo? Bring a paper one with you to your appointment
    • Do you not have a photo?There is a photo booth in the city office.

Step 2: Submit digital documents

  • Do you have all the documents digitally?
    Provide them to us in advance. That way, we can go through them together during your appointment.
  • In some cases you must bring the original document with you to your appointment

This is not yet an application for your stay
We don’t do anything with these documents as yet. We keep them for a maximum of 6 weeks, after which they are deleted. We will only go through the documents during your appointment at the city office.
